The Maintenance Supervisor supports Property Operations and communities by performing and overseeing routine and preventative maintenance and repairs at the assigned portfolio of properties, to safeguard and preserve the physical asset. All work will be performed in an efficient, timely and safe manner, in accordance with all policies, procedures and standards as set by HBG, and within approved budgetary guidelines. The Maintenance Supervisor will perform the work with the highest regard for good resident/customer service, Fair Housing, and work to ensure a positive team atmosphere. The Maintenance Supervisor will mentor, train, supervise and serve as a role model for a team of Maintenance Technicians. This is a working Supervisor role.

MAINTENANCE & REPAIRS

  • Design/develop weekly/monthly/quarterly/annual maintenance programs for equipment and facilities for each property, including shutdowns and start-ups and schedule work to be completed per the plan
  • Prioritize and assign preventative maintenance work orders to property Maintenance Technicians
  • Ensure Maintenance Technicians complete preventative work orders in Yardi, and update all preventative maintenance logs/schedules
  • Troubleshoot and diagnosis maintenance/building problems, interpret building and safety codes, read building blueprints, and evaluate costs of time and materials to correct problems
  • Call HBG approved and authorized vendors, as needed, to perform necessary work
  • Seek prior written approval for any work or purchase over $2500
  • Optimize work procedures and processes for efficiency and cost savings
  • Supervise and perform work within budget guidelines
  • Review Maintenance General Ledger accounts quarterly to evaluate budget variances and recommend cost saving measures
  • Supervise and oversee property Maintenance Technicians to maintain and care for an inventory of commonly used parts; maintain boiler and mechanical rooms, storage rooms and work areas to HBG standards and in a neat, safe, and secure condition
  • Identify Capital Expenditure and major repair needs of the properties and report to the Community Manager and Regional Portfolio Manager and assist with management of the Replacement Reserve and Capital Expenditure budgets
  • Promote and train on safe work environment
  • Inspect work of vendors/contractors and direct reports and inform Supervisor of thorough completion or need for follow
  • Oversee and direct the after-hours emergency call program

APARTMENT TURNS

  • Work with the Community Manager to ensure each property has a vacant apartment make-ready procedure to complete all needed work according to HBG standards, either to accomplish a 24 hour turn around on apartments that are leased or a 3 day turn around for apartments that are not leased.

PROPERTY INSPECTIONS

  • Routinely walk interior and exterior common areas of building, particularly observing any unsafe or hazardous condition (report immediately to Community Manager) and ensure the property is being maintained according to HBG’s standards for curb appeal and maintenance
  • Take lead for portfolio to prepared properties for City Building inspections, REAC inspections, insurance company inspections, etc.
  • Ensure periodic inspections such as Quarterly Plumbing and Smoke Detector Checks are completed and recorded
  • Responsible to make sure all logs of work are maintained and up to date (i.e., boiler logs, water meter reading logs, pool maintenance logs, etc.)
  • Focus on energy conservation, particularly on high water use; recommend measure to identify problems, correct them and continually monitor results

SUPERVISORY RESPONSIBILITIES

  • Recruit and assist with interviewing Maintenance Technicians and assist with evaluation of competencies and skills
  • Evaluate staff performance an on-going basis and maintain documentation related to the evaluations.
  • Train/develop assigned maintenance staff to improve performance and skill level

OTHER REQUIREMENTS

  • Attend periodic meetings or training to improve skills and/or stay in compliance with codes and regulations affecting trade work.
  • Identify and maintain a current list of qualified vendors or contractors to perform necessary warranty or routine property work and manage vendor purchasing and contracting for quality service and competitive pricing
  • Assist with contacting vendors/property maintenance technicians to schedule work
  • Oversee design and purchasing standards for the portfolio
  • Assist with budget planning for Capital Improvements or major work
  • Coordinate insurance loss/restoration work for the portfolio
  • Wear HBG provided uniforms and display HBG logo at all times
  • Perform additional duties as assigned by Regional Portfolio Manager

MINIMUM REQUIREMENTS

  • 5 years minimum apartment maintenance experience, supervisory experience preferred
  • Excellent references
  • Possess a valid driver’s license, reliable vehicle, and vehicle insurance.
  • Own and carry insurance on basic tools needed to perform the job
  • Reading and literacy at high school level or above
  • Able to work periodic evenings/weekends and be on-call
  • Able to work periodic evenings/weekends and be on-call
  • Hold these certificates: EPA I & II Universal License (for HVAC); minimum Special Class B Boiler’s License; CPR and First Aid certificates; Fair Housing Training Certificate; EPA Lead Paint Certificate
  • Continued employment is contingent upon all required licenses and certificates being maintained in active status without suspension or revocation
